- Team Horizon is seeking an Executive Assistant for our client based in Dublin. The Executive Assistant is to support the VP Commercial Distribution Quality. In this role, you will support day-to-day administration, calendar, email review and management including key meeting/project co-ordination, scheduling and agenda management for meetings, collecting and distribution of metrics, management of action items and accountability.

What you will be doing:
· Assist in developing spreadsheets and PowerPoint presentations as needed.
· Arranging business travel and accommodations for the VP Commercial Distribution as a priority and CDQ leadership team as needed, scheduling of events and entertainment as required (including flights, accommodation, and car hire etc) optimizing cost, convenience, and time.
· Management and completion of expense reports thereafter plus visa and travel documentation support.
· Provide administration support to the Commercial and Distribution leadership team for projects where needed. Including time/attendance system (Kronos) records for the management team in terms of their schedule to assist planning and schedule adherence.
· Organise and maintain shared folders and on-line tools in support of the overall Commercial and
· Distribution organisation. Purchase Order generation for stationary or ad-hoc items as approved by the VP.
· Support coordination the agenda of Commercial and Distribution on-site visitors including transport, meeting rooms, catering, and restaurant bookings. including any requiring cross-functional coordination that may be required.
· Identify, potential team building events and support co-ordination accordingly.
· Partner with local and corporate communications team to deliver professionally presented communications containing key messages and updates from the VP across the Commercial and Distribution Organisation globally.
· Operate with full confidentially and discretion in relation to information that may be shared or that may be accessible.
· Ad hoc duties and special projects as required.
What you need to apply:
· Minimum of 4 years’ office administration experience, preferably in a similar role.
· Advanced knowledge of Microsoft Office, Word, Excel and PowerPoint, and a comprehensive working knowledge of email functionality.
· Strong organizational and time management skills.
· Capability to prioritize and multi-task.
· Excellent interpersonal and communication.
· High accuracy and strong attention to detail.
